MotorGlide – Terms & Conditions

Our Experiences are fulfilled by selected third party flying schools and clubs acting on behalf of MotorGlide. All MotorGlide Vouchers (“Vouchers”) carry a unique voucher number that must be quoted when dealing with MotorGlide and its flying schools and clubs. Your voucher must be kept safely and securely and should be taken on the day of your experience and given to the flying school or club. We cannot accept responsibility for any loss you may incur as a result of theft, impersonation or identity fraud of your voucher.

Orders
The placing of an order constitutes your acceptance of MotorGlide Terms & Conditions, but does not constitute the creation of a contract. MotorGlide reserves the right to decline to process an order for any reason whatsoever. Duplicate orders are sometimes inadvertently placed or sent out. We ask that you return any duplicates immediately or contact us for further instructions. Should both vouchers be used, we will be entitled to claim payment for the costs incurred.

Experience descriptions, formats and durations
Experience descriptions, format and timings given on the MotorGlide website and in any other literature are only intended to present a general idea of the experience, and shall not be considered binding. In particular, photographs are for illustrative purposes only and do not form part of any contract between you and MotorGlide. As MotorGlide offers flying experiences at a wide number of venues, details such as flight lengths, itineraries, aircraft used and number of gliding flights may vary from flight to flight and location to location.

Availability
You are free to book your preferred date within your Voucher validity period. Experiences are subject to availability and will be subject to weather conditions (we advise telephoning the flying school or club you have booked with before you set out to confirm that your flight can take place). To avoid disappointment, we recommend that you book well in advance – ideally at least 6-8 weeks ahead. During peak periods it may be necessary to allow a longer notice period, although some flying schools and clubs may be able to fit in a booking at short notice. Please note that you must have flown before the expiry date printed on your Voucher. We strongly advise that you do not make any travel, accommodation or other arrangements until you have received confirmation of your booking from the flying school or club. Once a date has been booked with a flying school or club, your Voucher will be considered to have been redeemed.

Restrictions
All flights are subject to restrictions, including (but not limited to) age, height, weight, and physical and medical restrictions. Specific limitations may vary according to location, so please check before making your booking. Details of these restrictions are available on our website and contained in your pack. It is your responsibility to ensure that you choose a flight appropriate for the intended recipient and it is the responsibility of the recipient to double check that the restrictions are not prohibitive. In general the following conditions apply, but please check each flight for individual conditions:

Health
No medical examination is required before flying as a passenger or trainee pilot, but customers with any serious medical condition such as heart trouble or severe asthma are advised to consult their GP before doing so. Clients must be capable of entering and leaving the cockpit with assistance from only one person; this may not be possible for those with severe mobility problems.

Weight
As with all aircraft, there are some limitations on maximum weight. In most cases people up to 6’6″ and 242lbs (110kg) can normally be accommodated without problems. People in excess of these figures or who know they have a potential problem with some particular aspect of size or weight should consult with the flying school or club at time of booking.

Age
Most flights have a minimum age of 14. This may not always be the case; if in doubt, please call MotorGlide to check. Children must be sufficiently intellectually mature to fully understand the instructions given to them before the flight, and in the air; they must also be tall enough to see out of the cockpit and able to reach the controls. Minors will not be allowed to fly without the written consent of a parent or guardian. There is no maximum age limitation.

Spectators
Spectators are usually welcome but occasionally a flying school or club may make a small charge to cover insurance and/or refreshments. Some venues may have restrictions on spectators due to safety regulations. Participants are advised to check with the flying school or club when booking if they would like to take friends and family.

Shipping of vouchers
MotorGlide cannot be held responsible for any vouchers damaged in the post or for any postal delays.

Security
Vouchers are valuable documents and cannot be replaced if they are lost, damaged or stolen and are invalid if altered or tampered with. MotorGlide accept no liability in these circumstances.

Validity
The validity period of your Voucher is generally 6 months from the date of purchase unless otherwise stated. Flights must be booked and undertaken prior to the expiry date printed on the front of the Voucher, otherwise the Voucher will be deemed to be invalid and no liability will be accepted by MotorGlide.

Extensions
The validity period of most Vouchers may be extended once only at the absolute discretion of MotorGlide for a period of two months upon payment of a £20 administration fee. This fee, along with the original Voucher, must be returned to MotorGlide for an extension to be processed. If the price of your chosen experience has increased, you will have to pay the difference between the new price and your Voucher. Extensions can only be granted before the origional voucher expires.

Refunds
MotorGlide vouchers are non-refundable, although are transferable between your family and friends.

Experience operators
MotorGlide has contracted agreements with its operators (flying schools and clubs) regarding their standard of performance and, where appropriate, operators are registered with their relevant controlling or regulatory bodies. Once a booking has been made with an experience operator the participant is also bound by the Terms and Conditions of that operator. By purchasing or redeeming an MotorGlide Voucher you acknowledge that experiences are dependent on certain factors beyond the control of MotorGlide and agree that MotorGlide is not liable for the cancellation, postponement or alteration of any experience for reasons beyond its reasonable control (including but not limited to weather-related reasons, mechanical failure, location changes or otherwise). If mechanical breakdown should occur you should expect reasonable substitutions without notice. Please note that experiences and other products are subject to change without notice. This does not affect your statutory rights.

Cancellation by experience operators
If an experience is cancelled by the operator either before or on the day of the event due to circumstances beyond their control, the operator will offer to arrange to re-book the participant at a mutually agreed time on our behalf. the customer must accept a rebooking within 7 days and fly within 3 weeks of the rebooking.
MotorGlide cannot be held liable for any costs including (but not limited to) travel expenses or pre-booked accommodation costs incurred by the participant in the event of a cancellation. In general, if an experience operator cancels, the customer shall rebook their experience within two weeks and fly before the expiry of the voucher.

Cancellation by participants
Once you make a booking with an experience operator you are bound by their terms and conditions. Please make sure you understand their rules regarding changing or cancelling a booking (particularly at short notice), as a refund will not be offered in the case of infringement of these rules. In general, if you cancel with less than 48 hours’ notice of your booking, the voucher will be classed as flown and rendered void. If you do cancel with more than 48 hours notice you can rebook your experience within 7 days of the cancellation and fly within 3 weeks of the rebooking.

Liability cover
All of our flying schools and clubs are contracted to provide insurance against damage to equipment they use, and against liabilities to third parties, subject to limits and compliance with their rules, terms and conditions, which may vary between operators.
The flying school or club through which the experience is booked will be solely responsible for the provision of flights to customers, and MotorGlide does not assume any liability to any third party with respect to the activities carried out by the flying school or club.
MotorGlide cannot be held responsible for any damage, loss, expense or liability (whether direct or consequential) suffered as a result of undertaking an experience, including liabilities or claims relating to personal injury or death of any person or damage to or loss of any property arising out of the activity. Upon booking a flying experience and thereby redeeming a voucher, the contract is then considered to exist solely between the customer and the flying school or club they have booked with.

Third parties and re-sale

A person who is not named on the face of the Voucher or recorded as the purchaser by MotorGlide has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any terms and conditions of booking. A Voucher that has been re-sold (for example, through internet auction sites or by any other means) without our prior consent will be considered invalid. Neither MotorGlide nor any of its flying schools or clubs will be under any obligation to provide any service. These terms and conditions do not affect your statutory rights as a consumer, and are governed by and in accordance with English law.

Club Member Terms

Member Payments

  • Please note that American Express (Amex) and Diners Cards are not accepted.
  • Bank transfers are acceptable. However, please note that customers are responsible for all bank charges and any levied to MotorGlide will be recharged to the customer. For Bank Transfers, please ensure that a clear reference is made with regards to Invoice Number.

Members – Flight charges

  • Block time is charged as airborne time plus 15 minutes (10 minutes prior to take-off and 5 mins after landing). These are rounded to the nearest 5 minutes. Periodic checks are made with Flarm Logs.
  • Any pilot making a false claim will be subject to a charge of the difference plus an administration charge.
  • Fuel uplifts made by customers away from base can be re-claimed, but MotorGlide will only reimburse fuel and not any other airport charges such as landing fees.
  • If a club aircraft is taken off-site for more than five hours, a minimum of three hours flight time will be charged, at the discretion of the CFI.
  • All flights must be entered on the appropriate flight record log. 
  • Fuel uplifts made by customers away from base can be re-claimed, however MotorGlide will only refund the fuel at a cost equal to that of fuel cost at Bicester Aerodrome for Mo-Gas (January 2022 -£1.50/ltr).

Cancellation & No Show Policy 

  • A minimum of 48 hours notice is required for the cancellation of a booking so as not to incur a cancellation charge of £50.00, which will be charged to the pilot/student’s account. Please note that the no-show fee is charged at £70.00.
  • Weather cancellation should be mutually agreed between pilot/student and operations/instructor.
  • Pilots/students will be required to provide a satisfactory explanation for the cancellation.
  • Please note cancellation should be via telephone. Please ensure that you obtain a name of the person that you advised of absence, together with the date and time of your call. Any disagreement regarding cancellation should be resolved at the time of cancellation and not at the time of receiving any charges.

Accident or Incident

  • For any damage found to have been caused by pilot error, the pilot in command will be deemed to be financially liable for the cost of any necessary insurance excess, repairs or replacement.
  • For any accident or incident, a full report must be made in writing to the CFI.
